Position:  Administrative Assistant
Duration/Type: Full Time
Location: 17 Edvac Dr, Brampton, ON L6S 5X8
Salary: $48,000 per annum; The gross salary paid is subject to applicable Federal and Provincial income taxes and other statutory deductions such as EI and CPP.
Vacation: 4% of the gross salary
Hours of Work: 37.5 hours a week. Overtime rate (X1.5) applicable after 44 hours of work per week

Essential Functions / Major Responsibilities

  • Attending and screening incoming calls/emails, taking messages, conveying further, and handling general inquiries.
  • Work orders, follow through and report compliance to specifications as required.
  • Develop and maintain vendor & client files, including up to date contact information, quotations, pricing, and communications etc.
  • Report production progress of various orders and organize completion dates.
  • Responsible for effective monitoring and examining of goods shipped and received and verification of completeness of orders while reconciling against delivery receipts and bill of ladings.
  • Prepare reports for stock and inventory gaps and maintain records of number of items. Ensure effective resolution for any inventory issues.
  • Schedule and track safety meetings, assess and report safety concerns.
  • Requisite material for production process.
  • File, organize, and maintain records of projects, quality assurance, and specifications.
  • Maintain and file sick leaves, vacation days, and injury records.
  • Coordinate a prompt, efficient, and timely flow of paperwork.
  • Maintain professional appearance.

Education and Experience Requirements

  • Minimum 1-year experience in an administrative position is required.
  • Possess an understanding and working knowledge of MS Office suite to include Excel, Word, and Outlook.
  • Completion of secondary school is required.

Skills Required

  • Ability to write routine reports and correspondence.
  • Ability to apply common sense understanding to carry out detailed written or oral instructions.
  • Highly organized with attention to detail.
  • Moderate verbal/written communication skills in English language.
