Employer:  Infinite Outsourcing Solutions  
Position:  Project administration coordinator  
Duration/Type: Full Time  
Location: Mississauga, ON, Canada  
Salary: $27.00 per hour; The gross salary paid is subject to all applicable Federal and Provincial income taxes and other statutory deductions such as EI and CPP.
Vacation: 4% of the gross salary  
Hours of Work: 32-40 hours a week; Overtime rate (X1.5) applicable after 44 hours of work per week  

Essential Functions / Major Responsibilities

  • Coordinate to support the smooth operation of projects aimed at repairing and maintaining construction forms.
  • Maintaining and organizing project documentation, repair plans, and other project-related paperwork
  • Managing project schedules and calendars for the repair team.
  • Coordinating with team members to schedule repairs, inspections, and maintenance tasks.
  • Handling incoming and outgoing emails, phone calls, and messages.
  • Scheduling and organizing project meetings, including team meetings, client meetings, and inspections.
  • Tracking expenses, invoices, and receipts related to repairs and maintenance work.
  • Coordinating the allocation of equipment, tools, and materials needed for repair projects.
  • Assisting in quality control and quality assurance efforts to ensure that repaired forms meet industry standards and specifications.
  • Maintaining positive relationships with clients and addressing any customer concerns or inquiries related to ongoing repair projects.
  • Coordinating with vendors and suppliers to ensure the timely delivery of repair materials and services.

Requirements

  • 2-3 years of project coordination experience is required.
  • A bachelor’s degree in construction management, civil engineering, business administration, or a related field is required.
  • Written and verbal communication skills in English language for effective coordination and communication with team members and participants.
  • Excellent organizational skills to manage project documentation, schedules, and resources efficiently.
  • Basic understanding of project management principles and methodologies.
  • Experience with administrative tasks such as scheduling, record-keeping, budget tracking, and document management.
  • Ability to maintain positive relationships with clients and address their concerns or inquiries.
